Executive Assistant & Strategic Operations Support
This is a trusted executive-support role, not a routine reception or desk-assistant position. The successful candidate will work closely with Richardson Kyeyune, Chief of Global Grants Hub, helping to organise priorities, protect confidential information, coordinate communication and follow-up, prepare important documents, support grants-related assignments and keep work moving across organisational leadership, digital platforms, media, community programmes and partner engagements. The position requires mature judgement, initiative, responsiveness, accuracy and the ability to work independently while respecting clear authority and approval boundaries. The selected person must be comfortable working through a flexible combination of office, remote and field assignments.
Key responsibilities
- Manage and organise executive email, correspondence, schedules, meetings, reminders and daily priorities.
- Track deadlines, action points, delegated assignments and required follow-up.
- Support grant opportunity research, proposal preparation, document formatting and application-pack compilation.
- Draft and format letters, briefs, reports, meeting notes and other documents for review and approval.
- Maintain secure digital and physical records, confidential files, contact lists and task trackers.
- Coordinate communication and follow-up with partners, clients, institutions, staff and other stakeholders.
- Support preparations for meetings, appointments, travel, events and field activities.
- Assist with approved website, digital-platform, media and content-management assignments.
- Conduct focused research and prepare clear summaries to support executive decisions.
- Follow up assigned tasks, identify delays and provide timely progress updates.
- Work flexibly across office, remote and field settings, including occasional evenings, weekends and approved travel.
- Perform other reasonable duties connected to executive and strategic operations support.

Important information
The successful candidate will work under the direction of the Chief and will be expected to maintain strict confidentiality at all times. The assistant will not have authority to submit official applications, approve expenditure, make payments, sign commitments or bind Global Grants Hub without direct authorisation from the Chief.
The exact office, remote and field arrangement, remuneration, starting date and approved work expenses will be discussed before appointment.
